The Teamleader Focus Outlook email tracker add-in as available on the Microsoft App Store (hereinafter: the "Add-In") is provided by:
Hereinafter: “TEAMLEADER”, “we” and “us”.
For the purposes of this Privacy Statement, the following terms should be understood as set forth below:
Application | The 'Teamleader Focus' Software as a Service (SaaS) web and mobile application as developed, maintained and owned by TEAMLEADER. |
Customer | Refers to any natural or legal person who has entered into an Agreement with TEAMLEADER for professional purposes and in that context has obtained, among other things, a software license to the Application. |
End User | Refers to any natural person who uses the Application on behalf of the Customer - including but not limited to: employees, directors, contractors, appointees and volunteers of the Customer - and who in this context enters and uploads personal data of Contacts into the Application (hereinafter also: "you"). |
Contact | Refers to any natural person - third party, with the express exclusion of End Users, whose personal data are stored on the Application on behalf of the Customer; it concerns, without being limited to, business partners, clients and/or customers of the Customer. |
Data Subject | Means any natural person whose personal data are processed by TEAMLEADER via the Application, either in its capacity as data controller (End Users and Customers) or data processor (Contacts). |
Agreement | The overarching agreement between TEAMLEADER and Customer that relates to the services TEAMLEADER provides to Customer, including the provision of the Application, and which is governed by Teamleader's Terms of Service. |
Through this Privacy Statement, End Users of the Add-In are informed, in accordance with the applicable privacy laws, of the processing activities which TEAMLEADER may carry out with their personal data.
Note: This Privacy Statement serves as a supplement to the general privacy statement of TEAMLEADER and should always be read together with the aforementioned privacy statement. We strongly recommend that you read our general privacy statement to have a full understanding of the extent to which TEAMLEADER processes (personal) data of its Customers and End Users in their use of the Application and the Add-In. Furthermore, our general privacy statement also includes further information regarding our trusted data processors and your privacy rights with respect to TEAMLEADER.
As an End User, you make certain personal data available upon installation and use of the Add-In. We process personal data of all End Users (and more broadly: of all Data Subjects) in accordance with the GDPR and other relevant legal provisions. Any reference in this Privacy Statement to the "GDPR" is a reference to the Regulation of 27 April 2016 on the protection of individuals with regard to the processing of personal data and on the free movement of such data (General Data Protection Regulation).
TEAMLEADER reserves the right to modify this Privacy Statement at any time. Any substantial modification will be clearly communicated to the End Users. We advise the End User to consult this document regularly.
With respect to the End Users, TEAMLEADER is a data controller within the meaning of the GDPR. TEAMLEADER determines which personal data of End Users are collected in the context of the installation and use of the Add-In, as well as the purposes and means of processing these personal data.
With the exception of the explanation under Section 3.2 (“TEAMLEADER as a data processor”), this Privacy Statement deals exclusively with the data processing acts which TEAMLEADER performs in its capacity as a data controller.
TEAMLEADER has taken appropriate technical and organizational measures to protect the personal data of its End Users. TEAMLEADER uses a variety of appropriate security technologies and procedures to help protect personal data from unauthorized access, use or disclosure. TEAMLEADER places the personal data provided by End Users in a controlled, secure environment, where the personal data is protected from unauthorized access, use or disclosure. TEAMLEADER uses carefully selected data processors to process the personal data of Data Subjects. See our general privacy statement for an overview of the different categories of data processors we rely on.
Specifically in the context of the development and maintenance of the Add-In, TEAMLEADER relies on the following processor:

In order to ensure the best possible protection of End Users' personal data, TEAMLEADER has entered into the necessary contractual arrangements with all its data processors to ensure that they have the same high standards of data protection as TEAMLEADER.
The End User acknowledges that they also bear a certain amount of responsibility for data processing. Whenever the End User enters personal data of Contacts in the Application through the Add-In, the End User will be acting on behalf of and in accordance with instructions of the Customer. In doing so, the latter has the capacity of a data controller, since the Customer alone decides which personal data of Customers will be collected, without the intervention or control of TEAMLEADER.
The End User understands that in this context TEAMLEADER acts solely as a data processor who ensures the proper technical functioning of the Add-In. The Customer should, of course, inform the End Users of their responsibilities when processing personal data of Contacts through the Add-In.
Naturally, TEAMLEADER has also taken the appropriate technical and organizational measures to protect the personal data of the Contacts. For more information, please refer to our Security webpage as well as our Data Processing Agreement, which together with the Terms of Service must be accepted by each Customer and is part of the Agreement.
In accordance with the GDPR, we process personal data of End Users based on the performance of the Agreement as agreed with the Customer.
TEAMLEADER undertakes to collect and process only those personal data that are relevant and necessary for the purposes for which they are processed. The following personal data of the End User is processed:
- Login data (no worries, these are always encrypted);
- Account ID;
- Content of incoming and outgoing Outlook emails synchronised to the Application via the Add-In (depending on the specific content of the email, this may include different types of personal data, e.g., the email address of the End User).
These personal data are collected when you register as an End User and when you use the Add-In. The amount of personal data collected depends on your use of the Add-In.
In addition, we collect and process certain technical data to ensure the proper technical functioning of the Add-In for the End User, e.g. access tokens, timestamps, etc.
TEAMLEADER collects personal data from End Users to provide each End User of our Add-In with a secure, optimal and personalized user experience.
Data processing is essential for the operation of our Add-In and the related services.
The processing is done exclusively for the following specified purposes:
- Authentication of the End User on the basis of the Application login data;
- Linking the End User's Outlook (Microsoft 365) account with his/her account on the Application.
Your personal data will be kept as long as the Agreement lasts, even if the use of the Add-In would cease before that time. The End User’s personal data will be deleted at the latest six (6) months after the end of the Agreement, both by TEAMLEADER and its data processors.
