Biggest challenge? A growing tool stack with separate systems for tasks, invoicing, planning and HR, and no central view on sales.
Plan a road trip from Hamburg to Valencia and you're looking at a whopping 2,000 kilometres. For yes!devs, bridging that distance is nothing. "We have a really strong team. Because of that, we always have close contact with our clients," says Sandra. Overcoming the physical distance was never the problem for yes!devs. But getting their tools to talk to each other was another story.
Before Teamleader Orbit, yes!devs’ stack looked like a lot of agency stacks. ClickUp for tasks, projects and client dashboards. A separate tool for quotes and invoices. A third one for planning, without a link to ClickUp. A fourth for HR. Sales ran outside of all of them.
They tried filling the gaps between tools with spreadsheets. But project managers had limited visibility on what was being sold, and management had no quick way to check the numbers.
“We wanted to steer the company on data, not on gut feeling. That only works if sales, delivery and finance look at the same numbers.”
Quotes used to start their life in Slack. A project manager messaged her manager with what needed to go into the offer. The manager sent it out. After that, it was hard to track the status of the quote.
Now the whole flow sits in one place. Project managers build the quote, managers validate it, clients accept it in Orbit. No Slack chaos to get lost in.
"I prepare the offer myself and my boss just checks and validates it. Then the client can accept it directly in the software. So I know instantly if it's approved or not."
With Orbit, yes!devs brought its service desk and ticketing into one system and is now rolling it out across its client base. Time tracking came with it, feeding client invoices and internal budgets from the same hours.
Talking about support: yes!devs serves its own clients through Orbit, and Sandra deals with the Teamleader support team on the other end. "In a lot of tools you get a chatbot, or you email and they come back in a few days," she says. "Here, if it's needed, they don't hesitate to schedule a call."
Every agency knows the feeling. You close the month and think everything is billed. A week later, delivered work turns up that never made it onto an invoice.
In Orbit, that work doesn't stay hidden. You get notified of the gap. And then you can decide if you want to bill it or mark it as non-billable.
"Sometimes you think you invoiced everything, and then all of a sudden: oh, I missed this part. If something is not tackled or managed, it just shows up. Then your boss can say: hey, this is something I need to bill."
Orbit also shows revenue per client, and that number helps with setting priorities.
“Revenue per client changed how we look at our portfolio. We now invest our time where it creates the most value for both sides.”
It should come as no surprise that a software agency uses AI a lot. For some very specific client reports, they still pull data out of Orbit by hand and feed it to their AI tool.
Since the first of October, that workaround disappeared. Teamleader Orbit now has an MCP interface, which connects your agency data to the AI tools you already use. Ask for the status of a client, get an answer built on your own numbers.
For Sandra, this is a dream coming true. Orbit as the one place management information comes from, with no reporting exercise on the side. "When I have a meeting with a client, and I need to see the general status," she says. "I can just generate that with a click!"
